Candidates are people your organization is considering for one or more vacancies.

Open Candidates to browse candidate profiles.

You can search, filter, toggle table columns, and open a candidate profile for more details.

Use the source filter when you need to find candidates from referrals, careers applications, manual entry, resume import, or other sourcing channels.

Create a Candidate

Use the create candidate action to add a new candidate.

During creation, you can assign the candidate to a vacancy if the candidate is already being considered for a specific role.

Create a candidate from a resume file

When you add a candidate, you can upload a resume (for example PDF or Word) in the import area or by dropping the file onto the form.

The application reads the file before the candidate is saved to help fill in name, contact details, notes, and source where possible. It may also suggest open vacancies that match the resume; you can keep or change those suggestions before saving.

After you save the new candidate, the same resume file is stored on the candidate profile as a document when storage rules allow. If the profile is created but the file cannot be stored, you will still have the new candidate and can upload the document again from the candidate’s Documents tab.

Review the imported fields before saving. Resume import is a draft helper and may miss details or read them differently from your organization's preferred format. Fields that cannot be read from the file stay empty, and required fields still need to be completed before the candidate is saved.

Candidate Profile

The candidate profile contains the candidate's main details, vacancy assignments, documents, notes, and activity.

Use the profile tabs to move between candidate information without leaving the candidate page.

From a candidate profile, you may also create related Offers when those actions are available.

Candidate Notes and Mentions

Use the Notes tab to discuss a candidate with your team.

You can mention teammates in comments. Mentioned users receive an inbox notification that links back to the candidate discussion.

Authors can delete their own comments when a note should be removed.

Assign a Candidate to a Vacancy

From the candidate profile, assign the candidate to one or more vacancies.

Vacancies that are not open may be disabled in the selection list.

Remove a Candidate from a Vacancy

On the candidate profile, use the unassign action for the relevant vacancy assignment.

This removes the candidate from that vacancy pipeline.

Candidate Documents

Upload candidate documents so the team can review resumes and related files.

When AI matching is available, uploaded documents can be used to compute match scores against open vacancies.

Documents can be downloaded or deleted from the candidate profile when your role allows it.

Candidate Interviews and Events

Candidates can be linked to Calendar and Events, Video Meetings, and Interviews.

Use these workflows to schedule interviews, invite participants, and review submitted answers.

Candidate Photo

Candidate profile photos can be uploaded or removed from the candidate profile.

Profile photos must be JPEG images, up to 150 by 150 pixels, and up to 500 KB.

Suggested Vacancy Matches

If a candidate has uploaded documents and AI matching is available, the candidate profile may show suggested open-vacancy matches.

You can review suggested vacancies and assign the candidate when a match is relevant.

Bulk Candidate Actions

On the Candidates page, select multiple candidates to use bulk actions.

Bulk actions can move assigned candidates to another stage, reject candidates, email candidates, compare candidates, or add rejected candidates to the talent pool when that option is shown.

Candidates without a vacancy assignment may be skipped for stage changes because there is no pipeline stage to update.

Talent Pool

Open the Talent pool from the Candidates page to review candidates who are not currently active in a vacancy pipeline.

Use the move action to assign a talent-pool candidate to an open vacancy when a new role becomes relevant.

Candidate Privacy Requests

Candidate profiles include privacy actions for data export and erasure when your role allows them.

Use export when a candidate requests a copy of their data. Use erasure only when the candidate should be removed according to your organization's retention and compliance policy.

Candidate Portal

Candidates can use the candidate portal to review their applications.

The portal shows application status, scheduled events, offers, role details, and withdrawal actions when the application can still be withdrawn.
